What is the
Event Open Call?

ESTIEM Events are a portfolio of Activities which focuses on 5 different fields for personal and professional development of  ESTIEMers. It is divided into Academic Development Department, Career Development Department, Intercultural Development Department, Personal Development Department which provides Service events and there are also Central ESTIEM events.

The Event Open Call is the beginning of the process for organizing an event. It consists of the description of the event, what is needed to organize it, how to apply, timespan, price range, and participant range.

There are many reasons why you should organize an ESTIEM event. Firstly, you will be working with a team with your Local Group members and become more friendly with them. During the organization of the event you will develop your project management skills and also you can create your own impact by developing ideas and creating new concepts. It’s a great chance to develop yourself and improve a variety of skills. 

Lastly, it is a unique opportunity to meet with other people from different countries coming from all over Europe and show them your own country’s culture. And it is amazing and fun to be in the organizers team of an International Event.

First step of organizing an event is to apply for it. You can check the events and their application periods by clicking on the buttons below. When you go to the Event section you will be able to see the Event types and all the information related to it, and the apply button for each event. The final step is to click on the apply button and fill the Event Organization form. After successfully completing the application, organizers will approach you with further information about the process.

EVENT OPEN CALLS

Academic Development Department

Vision

The aim of Vision is to give students practical insights into current and future topics and trends from areas between Economy, Society, and Technology while bridging the gap between academic and corporate environment.

Participants:  15 – 20
Time: May – July 21′

Price: Max 90 €

You as Local Group choose your own topic for your Vision event, which has to lay in one of the fields of Technology, Society or Economy. It is also possible to have topics that combine several fields. As an example, “Technologies behind modern aircraft engines” would belong to the area of Technology, whereas the “Aircraft Industry and its impact on environment, society, and economics” is a topic that touches all three fields. The focus of every event lays in how topics are applied in a corporate environment. Besides that, it is important to let the participants receive practical insights, which means they actively work on small projects, case studies or other practical experiences (company visits, etc.). The balance between the actual event topic and culture/leisure activities should be around 70:30.   What do you need to organize?

  • Food, Accommodation, and Transportation for all participants
  • Interactive topic-related elements (projects, case studies, product developments, problem solutions, etc.) with companies & experts
  • The clear red line (contentwise) throughout the event that connects the program points
  • Basic and interesting topic-related content to be sent to participants before the event
  • Culture and leisure activities
  • Relaxing evening activities
During the process of organizing, you will have the full support of the Vision team and the Vision project leader.    How to apply?   • Explanation and relevance of your topic, which of the three fields will be covered and how?
  • Agenda draft and the red line connecting the event
  • Elaboration of the activities plan, practical aspects required for a Vision event
  • Accomplishments of participants during the week, outcomes
  • Strengths of your Local Group/University/Region/Country regarding the topic
  • A brief overview of your LG and your motivation to organize a Vision event
  • Previous event organizing experiences
  • Preferred dates and Budget

businessbooster

Businessbooster is a flexible ESTIEM Project that promotes and stimulates entrepreneurship among students. Different training, educational and networking events/competitions can be organized, such as reunions with Alumni, participation in entrepreneurship conferences and seminars about the fundamental basics of a successful entrepreneur (or any other topic that your Local Group would consider relevant to approach). The main goal is to help young ESTIEM entrepreneurs to start-up better, faster and with more confidence.

Participants:  10 – 15
Time: May – July 21′

Price: Max 100 €

Local Groups should...

  1. Decide over a topic related to entrepreneurship
  2. Create an event agenda in cooperation with the central team
  3. Organize accommodation, food, and transportation for 15 participants (5 days)
  4. Contact professors for lectures and trainers or companies for workshops,
  5. Do experience-exchange sessions with local start-ups and entrepreneurs
  6. Plan evening activities

LG Application must contain...

  • LG motivation letter
  • A draft Agenda of the event
  • A draft Budget
  • Information about the accommodation, city, and university
  • Information about the flights
  • Details about the entrepreneurial activities

Intercultural Development Department

Europe3D

Europe3D gathers students from all around the world in a 6-7 days seminar series where the participants get to learn a country within three distinct dimensions: politics, economy, and culture. We aim to let the participants have a unique experience within an intercultural environment. Europe3D events accept not only ESTIEMers but also externals, which allow the pax to develop themselves within different perspectives.

Participants:  25 – 30
Time: May – July 21′

Price: Max 95 €
Leader: Helin Ergezer

What do you need to organize?

  • Food, Transportation, and Accommodation for all participants during the event. Participants can be either hosted or put in a hostel, or both. 
  • Lectures during the day on politics and economy (about 2 lectures per dimension and each lasting about 2 hours)
  • Classroom for the lectures, working materials for the Intercultural Awareness Training (ICAT)
  • Institutional visits (government, parliament, economic chambers, etc., anything involving politics and/or economics)
  • Cultural visits (city tour, museums, theaters, landmarks, etc.)
  • Positive attitude, lots of pandas and ESTIEM spirit!

During the process of organizing you will have the full support of Europe3D Leader and Europe3D Team.

 

How to apply?

You can use the ready template attached below OR send an application with the following information: 

  • Motivation and former experience if any
  • Time Availability for organizing the event
  • Short information about the LG
  • Information about the event (how you want to present the 3 dimensions and how you expect the event to look like)
  • Information about how many participants you can host and/or place in a hostel
  • Agenda (must include a 3-4 hours slot for the ICAT, 1-hour reflection session on the last day)
  • Draft budget with the participation fee
  • Any new ideas you might have regarding the event and the Project

Personal Development Department

BrainTrainer

BrainTrainer

BrainTrainer is a training-based project that aims to provide high quality, interactive and multicultural learning experience. While working on soft and business skills such as communication, presentation, negotiation and team-management, participants are also able to enjoy the experience-sharing, fun, and team spirit.

BrainTrainer events include numerous training sessions -in which the learning by doing principle takes a major role- spread throughout a week, interlocking with other cultural and team-building activities. 

Enabling contact with professional trainers, trainers from other NGOs and experienced alumni, and thus providing greater insight into each participant’s career, BrainTrainer prepares IEM students for their professional lives, it focuses on their self-development.

What do you need to organize a BrainTrainer?

  • Food, transportation and accommodation (preferably in hostel) for all participants for 7 days (5 event days, 1 arrival day and 1 departure day)
  • Innovate event concepts about soft skills (feel free to check old event concepts)
  • Working materials (eg. flip charts, pens, transparencies, projector)
  • A leisure day in the middle of the week (city tours, activities etc.)
  • Free time and evening activities
  • Covering the Trainers needs & costs (if they require a payment)

During the process of organizing, you will have the full support of the BrainTrainer team.

 

How to apply for a BrainTrainer event?

Send a mail to leader.braintrainer@estiem.org and make sure vp-activities@estiem.org is attached to the CC till 29.11.2020. Then the BrainTrainer team sends you an application form -which is about concept, accommodation, budget, activities, and agenda of the event- and Best Practice Document about the organizing BrainTrainer event after receiving the mail from you.

After reviewing your application form, a chat will be scheduled to talk. 

Also if you want to organize a BrainTrainer event but you are not sure how to choose focus skills and concepts of the event, we can help you with that (be sure to mention in the email if you need help with that).

Central ESTIEM

ESTIEM 360

ESTIEM 360 is an event focused on creating awareness about ESTIEM, let them experience the ESTIEM Spirit, make people travel and introduce them within Central ESTIEM. The idea is to give an overview of ESTIEM and what the network has to offer, in only one week. This means that the event consists of diverse activities, like presentations (given by us), working groups, training sessions, etc, all based on different entities of ESTIEM. Other than organizing high quality and fun activities, the organizing Local Group should try to spread ESTIEM spirit and raise awareness about what our organization has to offer.

During the whole preparation, the ESTIEM 360 coordinator will provide all the necessary materials about ESTIEM entities and help you to figure out the best workshops, case studies and activities to have during the event!

What will you need to organize?

  • Food, Transportation, and Accommodation for all participants.
  • A room equipped with presentational materials where the sessions will be held.
  • Daytime presentations* about entities and activities/ workshops that can best represent them and Evening Activities.
  • The LG is free to come up with their own activities also
  • Wish to share the ESTIEM spirit!

* Recommendation: It might be beneficial to have some people know about the central ESTIEM to deliver the presentations.

 

How to apply:

Your application should include:

  • Short introduction of your LG,
  • Preferable dates for organizing the event,
  • Draft agenda (recommended 5-6 working days),
  • Draft Budget (best and worst-case scenario) and Participation fee proposals,
  • Accommodation proposals.
