What is the
Event Open Call?

ESTIEM Events are a portfolio of Activities which focuses on 5 different fields for personal and professional development of  ESTIEMers. It is divided into Academic Development Department, Career Development Department, Intercultural Development Department, Personal Development Department which provides event offers form ESTIEM Services and there are Central ESTIEM events.

The Event Open Call is the place where you can go to learn about the different events that ESTIEM offers, where you can suggest new ideas and also where you can apply or submit your desire to organize an event.

There are many reasons why you should organize an ESTIEM event. Firstly, you will be working with a team with your Local Group members and become more friendly with them. During the organization of the event you will develop your project management skills and also you can create your own impact by developing ideas and creating new concepts. It’s a great chance to develop yourself and improve a variety of skills.

Moreover, it is a unique opportunity to meet with other people from different countries coming from all over Europe and show them your own country’s culture. And it is amazing and fun to be in the organizers team of an International Event.

Why apply to
organize an Event?

How to apply
to an Event?

First step of organizing an event is to understand what are the needs, the motivation and the resources of your Local Group to organize an event. LEAN SIX SIGMA

Lean Six Sigma is a methodology used in many companies to reduce waste and eliminate variation to improve corporate performance. Having a professional Green Belt certificate in Lean Six Sigma can give students a big head start for their careers. The ESTIEM Lean Six Sigma Green Belt Course aims to give ESTIEMers the opportunity to obtain a high-quality Green Belt certificate already during their studies – current options outside of ESTIEM are both expensive and not focused on students.

International Event - Central Course

General Information

Participants: 5 – 30 + 1 instructor per every 5 participants

Usual duration of the event: 5 full days + arrival and departure days

Leader: Rodrigo Sousa

Contact: leader.lss@estiem.org

The event is usually 7 days long, of which 5 are working days. Participants will need to watch online videos, apply what they learned in examples provided during the training event, show their newly developed skills in a final case study, and then get the chance to conduct their own Lean Six Sigma internship. It is also possible to have an additional day for a company visit if needed. Here you can see the first draft of an Agenda.

What we are aiming for

Unlike most other projects in ESTIEM, our events always have the same agenda but therefore offer a lot of value to participants and a lot of potential to the LG.

What we are looking for in return is the will and motivation to not only host the Central Course and then stop being engaged with the topic, but to go one step further and strive for bringing your own first Local Course to your university and Local Group.

To do so you’ll also need the interest and dedication from few members to apply for the event and sign up as instructors afterwards, so those members will be the first generation to deliver your Local Course.

This way your LG will even benefit a lot more than from simply having only one single international event.

What your LG needs to organize?

  • Food, accommodation, and transportation throughout the event for all participants
  • The Project Leader must communicate sharply with the Head Instructor and the Central LSS Team. They will give the guidelines for all the materials and rooms needed.
Click here to read our Best Practice Document.

Why should your LG organize this event?

Hosting a Course comes along with many benefits:

  • Provide a unique opportunity on an internationally acknowledged methodology
  • Attract new members
  • Increase the visibility of your Local Group in the campus
  • Possibility to reach out for corporate partners more easily and establish collaborations with professors/the university
  • Boost your members’ CV

Regional, National, and Local Courses

The main difference from the Central Course is that Local Courses are set up in your university, by your local instructors for your local members.

In case you possibly wouldn’t receive enough applications for a Local Course, you can negotiate with your neighbouring LGs and go for a Regional/National Course first.

Vision

Vision was established in 1994 – it’s one of ESTIEM’s oldest entities! – with the main goal of giving students real-life experiences about trending topics of technology, economy, society, or sustainability. Vision aims to help IEM students to get practical insights about the topics they have academic knowledge on, with both lectures and interactive sessions.

Vision

General Information

Participants: 15 – 20

Usual duration of the event: 5 – 7 days

Leader: Mert Timur

Contact: leader.vision@estiem.org

Vision gathers students from all over Europe in a 5 to 7 days journey where all participants get to learn about all dimensions of a particular, up-raising topic in these four different areas: technology, economy, society, and sustainability (sustainability is brand new area for Vision!). It is a unique experience in lectures, but also through field trips and interactive learning opportunities. And the best part is, doing all of this while surrounded by ESTIEM Spirit!

What your LG needs to organize?

  • Food, accommodation, and transportation throughout the event for all participants
  • Lecture series (academic lectures with professors)
  • Interactive sessions (field trips, company visits, case studies, workshops, sessions with company representatives, etc.)
  • Cultural activities to make sure that participants are learning but also enjoying a different culture
  • Night activities! (Academic funfunfun includes working hard, and partying hard!)

Why should your LG organize this event?

Vision event is an opportunity that is hard to find when it comes to networking with companies. Your LG will get a lot of chances to cooperate with many different companies, and long-term benefits of it. Also, the possible topics range of Vision is a true playground. It is likely for an LG to represent both strong sides of the country’s industry, and also the subject which your university is entitled to be the best about.

The vision team is more than happy to support LGs through every step of the event process, in any kind of needs related to CR, PR, etc. by cooperating with specialized team members. Also, LGs are free to choose the topic of the event regarding the four areas mentioned before, but in any case of necessity, we have a topics database which is we can provide for you.

Career Development Department

Be X for X Days

Be X For X Days

Be X for X Days aims to provide ESTIEMers and IEM students with the best opportunities of getting real-life experiences, useful knowledge and insights about what is needed to be a good professional in a specific field by close contact with companies.

Be X for X Days

General Information

Participants: 10 – 20

Usual duration of the event: 3 – 6 days

Leader: Isil Yasar

Contact: leader.bxd@estiem.org

Be X for X Days (or short: BXD) is an event that gives participants the chance to experience the working life of an IEM-related profession. By close contact with companies, the aim is to show the role of one IEM related profession and open new career paths for ESTIEMers and IEM students. In order to differentiate itself from other events, the focus should be more on practical activities and gaining experience about the real deal (eg. networking sessions, company visits, case studies etc.) than focus on more theory-based ones.

What your LG needs to organize?

  • Food, accommodation, and transportation throughout the event for all participants
  • Create the topic of the event by choosing one profession that you want to show
  • Look for Partner Companies that are working in your chosen profession and are willing to hold a session about your topic
  • Arrange the event activities (company visits, workshops, etc.) in cooperation with the companies

Why should your LG organize this event?

Career related events do not only attract many participants but can also help your Local Group in a lot of ways. While some companies are even willing to pay to hold a session like this, your LG can benefit a lot from company contacts for the future. Also, it is a good way to get newer members from your LG involved, since they can take over easier tasks like reaching out to companies or helping to define a topic for your event.

The BXD team will provide support during every step of the way. We will help you decide on a topic and provide CR support if you struggle with that. We will also try to give you the best advice, so that your event quality is high and the participants can have an amazing experience. We will schedule a zoom call whenever you feel like you need our support.

If you have any questions or doubts, please feel free to reach out to the BXD team (leader.bxd@estiem.org), we will answer all questions you have!

Triple Local Group Exchange

General information

Participant: 8-25

Usual duration of the event: 4-6 days

Leader: Konstantina Karaoli

Triple exchange has the same organizing process with the normal exchange. The only difference is that there are 3 local groups instead of two.

Why should your LG organize this event?

The participants have the opportunity to visit 2 Local Groups (of the same or different country) in 2 different time periods and it is really helpful for Local Groups which do not have a sufficient number of participants who can travel.

If you are looking for LGs, you can apply to the Matching Platform from the LG Exchange Opportunities Page.

BrainTrainer

braintrainerlogo_rgb

BrainTrainer is a training-based service that supports ESTIEMers in their journey of becoming more professional & productive by providing them with high-quality development opportunities in soft skill areas and applying the learning-by-doing principle.

BrainTrainer

General information

Participant: 9-20

Usual duration of the event: 5-8 days

Leader: Ata Tosun

Contact: leader.braintrainer@estiem.org

BrainTrainer is designed to develop the participants’ soft skills (e.g. leadership, presentation, business and interpersonal skills) through professional training sessions. It aims to coach and develop the participants to become more qualified and efficient in their organisation and future careers. The training sessions are either led by professional trainers or members of the ESTIEM, who might be trainers and/or highly experienced alumni from the business field. Apart from theoretical knowledge, another focus lies on the learning-by-doing principle, where the participants can represent the appropriateness of their engaged learning by adapting it to real-life situations.

Why should your LG organise this event?

Everyone wants a prestigious life. In order to achieve this, the required skills are not only hard skills at working place anymore. Soft skills, including social skills to personal skills or leadership to management skills, determine individuals’ future as a vital part of business life. Organising a BrainTrainer event in your LG, you can create an opportunity for both ESTIEMers from all around Europe and your local members and contribute to their present and future life while having fun and creating lifetime memories in a prestigious event.

What your LG needs to organize?

  • Organise food, accommodation and transportation for all participants and trainers throughout the whole event
  • Check soft skill areas linked to this document
  • Decide what kind of trainers are going to deliver the training sessions (ex., ESTIEM trainers, external trainers, professors, etc.)
  • Create the agenda with the central BrainTrainer team and trainers assigned for the event
  • Prepare a PR plan and materials in collaboration with the central BrainTrainer team
  • Plan leisure activities.
  • Try to find any sponsor to decrease the participation fee and make the event more appealing.

The central BrainTrainer team works a bridge between the Local Group and every central entity of ESTIEM. They are the ones who will be approaching the central ESTIEM trainers, the ESTIEM alumni, and the
committees to help you organize your event. The central BrainTrainer team will guide you with choosing the soft skill areas and creating the agenda. The central BrainTrainer team can support you in preparing the PR plan and materials, as well as create a link between any ESTIEM committee and the event.

Because BrainTrainer is a concept depending on the trainers for the specific event, it may take time to find them! The earlier you apply, the better result in trainers and the quality of the event.

NO TRAIN,
NO GAIN.

Summer Academy

Summer Academy is a service within the Personal Development Department that provides a chance to go on a retreat to discover one’s inner motivations and opportunities for growth under the guidance of an Academic leader. Summer Academy is known for being ESTIEM’s treasure.

Seasonal Academies

General information

Participant: 8 – 16

Usual duration of the event: 6 days

Leader: Ozgur Ikidag

Contact: leader.sac@estiem.org

The context of the Seasonal Academies and the Service name

Summer Academy is the name of a service in the personal development department of ESTIEM, but it is also the name of the original event that used to happen since 2001 on summertime (hence the name Summer Academy). Thus it was kept as the service name, as it holds quite a legacy!

Now in the spirit of aiming high we kept the original concept of the event but  wanted to create more “seasonal academies” (e.i event happens in winter = Winter Academy, happens in Autumn = Autumn Academy, happens in spring = Spring Academy ) in order to:

  • Give LGs more opportunities to organise the event during the year if it is more convenient for them.
  • Give ESTIEMers more opportunities to experience such a life-changing event at least once during their ESTIEM journey.

Spring Academy: March – May

Summer Academy: June – August

Autumn Academy: September – November

Winter Academy: December – February

The event concept

Summer Academy is known for being ESTIEM’s treasure. We aim to create a space away from the usual lives of participants and regardless of which season of the year it, they shall have a “summer vacation” from their “everyday obligations” to allow themselves to embark on a journey of self-discovery to gain more self-awareness and self-growth while developing their leadership skills and creating long lasting friendships and strong bonds with their fellow ESTIEMers on a deeper level.

During the event, participants are all hosted in the same house in a remote area, under the guidance of what we call an Academic Leader that challenges the participants’ mindsets and helps them to widen their perspectives to learn more about themselves. In other words the Academic leader is a professional in charge of the sessions’ content (facilitating the open discussions, workshops, training and reflection sessions..etc). The Academic leader can be for example a personal development coach, social/organisational psychologist, Impact leader or an inspirational ESTIEM Alumni..etc,)

What your LG needs to organize?

  • It is crucial to be accommodated together in a remote location where participants can enjoy calm and a peaceful atmosphere (house in a remote location, can be in the outskirts of the city)
  • It is also preferable to have a suitable working room for sessions and a kitchen for self catering where participants can cook for themselves.
  • Local organisers will be responsible for acquiring accommodation, food ingredients for the participants and transportation from the meeting point to the House.
  • The Budget should contain the Professor’s flight tickets
  • Before the event local organisers will be communicating with participants providing them with necessary information.

Why should your LG organize this event?

  • Easy to organise – all the content of the event will be prepared by the Academic Leader.
  • “No organisers” – the main organisers from your LG are counted as participants, along with other international participants. Everyone is cooking together, cleaning together and participating in each session/activity.
  • Support from the Summer Academy Team throughout the WHOLE process of the event before, during and after the event itself.

Please apply through the Event Organisation Google form below. If you have any questions or hesitations, please, email the leader via leader.sac@estiem.org. If more help is needed, the Summer Academy Team can help you choose the best location and accommodation and give suggestions about the budget and answer any of your questions.

  • The number of participants
  • What makes it new regarding the events we already have

Short Online Activity

Short Online Activity

Short Online Activities can be organised from now on. As explained below, a service, a committee or a LG will have the opportunity to apply for them in the following areas: Academic, Career, Intercultural, Personal and others. Please follow the process as described below!

How to apply?

Criterias for online sessions/activities on the portal:

  • Open for every ESTIEMers
  • Duration of at least 2 hours
  • Connected to a Service, a Committee or a Local Group
  • Have a specific topic/content which is related to the offers of ESTIEM

→ Not only drinking evenings for example

→ More concrete Guidelines for the Intercultural content:

  • Every Session needs to have a certain topic where the consumption of alcohol is not the main value given there. Moreover, sessions focusing only on drinking alcohol are out of the evaluation process. There needs to be a high focus on exchanging and discussing cross cultural topics or a deep dive into the respective content on a cultural level.

You can apply for a short online activity in one of these areas:

  1. Academic content
  2. Career content
  3. Intercultural content
  4. Personal content
  5. Other content

In order to get your online activity on the portal, it needs to fulfill the requirements stated above.

Please fill in the form in order to submit your application.

If you have any questions, please email the vp-activities@estiem.org, we are happy to help!

The Vice President of Activities is making the last decision of putting the online activity on the portal. And as this is the first trial, please keep in mind that we may need to adapt the criterias in the future, to define the process better.
