IMPORTANT INFORMATION REGARDING THE ORGANIZATION OF EVENTS DURING COVID-19

Regarding the organization of offline events: The information on what to include in the application for the event to be on the portal, ESTIEM’s Event Policy regarding COVID-19, different documents explaining the event process & up-to-date dashboards regarding the COVID-Numbers in your or other countries, you can find in the COVID-19 One Pager.

Important: We expect to have the first offline events again starting in summer. Please take this into consideration when applying for an event, as well as a possible cancellation or shift to online! We also want to state that your Local Group, as a legal local association, is accountable for any complication that can come up, before, during and after the event regarding COVID-19.

What is the
Event Open Call?

ESTIEM Events are a portfolio of Activities which focuses on 5 different fields for personal and professional development of  ESTIEMers. It is divided into Academic Development Department, Career Development Department, Intercultural Development Department, Personal Development Department which provides Service events and there are also Central ESTIEM events.

The Event Open Call is the beginning of the process for organizing an event. It consists of the description of the event, what is needed to organize it, how to apply, timespan, price range, and participant range.

There are many reasons why you should organize an ESTIEM event. Firstly, you will be working with a team with your Local Group members and become more friendly with them. During the organization of the event you will develop your project management skills and also you can create your own impact by developing ideas and creating new concepts. It’s a great chance to develop yourself and improve a variety of skills. 

Moreover, it is a unique opportunity to meet with other people from different countries coming from all over Europe and show them your own country’s culture. And it is amazing and fun to be in the organizers team of an International Event.

First step of organizing an event is to apply for it. You can check the events and their application periods by clicking on the buttons below. When you go to the Event section you will be able to see the Event types and all the information related to it, and the apply button for each event. The final step is to click on the apply button and fill the Event Organization form. After successfully completing the application, organizers will approach you with further information about the process.

Academic Development Department

Vision

Established in 1993 with the aim of giving students practical insights into current and future topics and trends from areas between Economy, Society, and Technology while bridging the gap between academic and corporate environment. You, as a Local Group, choose your own topic for your Vision event, which has to lay in one of the fields of Technology, Society, or Economy. It is also possible to have topics that combine several areas.

Online Edition: How does it work?

 

The online concept of Vision event is pretty new. We expect you as a local group to come up with a topic that is suitable for Vision events (Transportation, Production, Renewable energy, IoT, etc.)

 

The online event consists of two parts, like other Vision events. In the first part, which is theoretical, we will be working with a person from a company or university to give lectures about the topic to the participants.

The second part is the practical part, which includes activities like case studies, virtual company visits, workshops about the topics.

The duration of the event is flexible(a day, a weekend, etc.), it will be arranged with applying local group during the organization process.

 

How to apply?

Please get first in contact with Burak Diler, leader.vision@estiem.org (add in cc vp-activities@estiem.org), to elaborate and clarify your event idea. After that, your application should include the following points:

  • Explanation and relevance of your topic
  • Strengths of your Local Group/University/Region/Country regarding the topic
  • A brief overview of your LG and your motivation to organize a Vision event
  • Previous event organizing experiences
  • Preferred dates

LEAN SIX SIGMA

Lean Six Sigma is a methodology used in many companies to eliminate waste and reduce variation, to improve corporate performance. Having a professional Green Belt certificate in Lean Six Sigma can give students a big head start in their careers. The ESTIEM Lean Six Sigma Green Belt Course aims to provide ESTIEMers an opportunity to obtain a high-quality Green Belt certificate already during their studies – current options outside of ESTIEM are both expensive and not focused on students.

Participants:  15 or 20 ESTIEMers & 3-5 Instructors

After many successful editions of the event, we are again offering the possibility of hosting our course to LGs with the ambition and willingness to further work with LSS in the future.

 

What is the Lean Six Sigma Green Belt Central Course?

Lean Six Sigma is a methodology used in many companies to eliminate waste and reduce variation, to improve corporate performance. Having a professional Green Belt certificate in Lean Six Sigma can give students a big head start in their careers. The ESTIEM Lean Six Sigma Green Belt Course aims to provide ESTIEMers an opportunity to obtain a high-quality Green Belt certificate already during their studies – current options outside of ESTIEM are both expensive and not focused on students.

 

International Event - the Central Course

The event is usually 7 days long, of which 5 are working days. Participants will need to watch online videos, apply what they learned in examples provided during the training sessions, show their newly developed skills in a final case study and then get the chance to conduct their own Lean Six Sigma internship.

It is also possible to have an additional day for a company visit if needed. Here you can see the first draft of an Agenda.

 

What we are aiming for

Unlike most other projects in ESTIEM, our events always have the same agenda but therefore offer a lot of value to participants and a lot of potential to the LG.

What we are looking for in return is the will and motivation to not only host the Central Course and then stop being engaged with the topic, but to go one step further and strive for bringing your own first Local Course to your university and Local Group.

In order to do so you’ll also need the interest and dedication from few members to apply for the event and sign up as instructors afterwards, so those members will be the first generation to deliver your Local Course.

This way your LG will even benefit a lot more than from simply having only one single international event.

 

Regional Courses and Local Courses

The main difference from the Central Course is that Local Courses are set up in your university by your local instructors for your local members.

If your LG is permanently struggling with finding members or establishing yourself at university, you can also invite external IEM students to boost your popularity and visibility.

 

In case you possibly wouldn’t receive enough applications for a Local Course, you can negotiate with your neighboring LGs and go for a Regional Course first.

As long as you take the knowledge one step closer to your own LG or even other LGs you help us grow and you help ESTIEMers, as well as yourself, to develop.

 

We are aware that at this point, you might not be really into the scope of given possibilities. Contact us for clarification, and we can already talk about the best potential follow-up course for your LG after having an international central course. If you need more specific information about Local Courses, please contact Juliana.Fernandes@estiem.org or check out this page with more information.

 

Given the pandemic, it may be more interesting to organize a regional or local LSS course instead of a central course since these can be organized in a shorter timespan and it requires less international traveling.

 

Why should you go for it?

Hosting your own Local Course after or before a Central course comes along with many benefits:

  • Unique opportunity on an internationally acknowledged methodology
  • Attractive for members with rare time for international traveling
  • Being an exclusive association by also offering the Local Course to external IEM students
  • Increases the visibility of your Local Group on the campus
  • Reach out easily for corporate partners and establish a collaboration with professors/the university
  • Implement the course in the curriculum if possible

How can you apply?

If you want to get the Lean Six Sigma Green Belt course to your university and challenge the way we teach and learn, please fill the Questionnaire for organizing a LSS Central Course in order to apply properly. A PowerPoint presentation is not required, if you still want to show us fancy pictures of your city, LG or other stuff, you are free to create a short PowerPoint.

 

Please note that important for our decision are the answers from the form. Information from the PowerPoint won’t be considered and filling the form is mandatory. If you don’t fill the form, your application is not valid for this period.

Academic Days

The goal of Academic Days is to share ESTIEM universities’ knowledge with the network. It supports the personal and professional development of students across Europe willing to complete their curriculum. In order to achieve this, each Academic Days event provides participants deep insights into a specific topic in which the organising Local Group’s university has a high expertise.

The Academic Days Masterclasses is an online event composed of multiple sessions, each organized by a different LG.

 

Each LG must prepare a session (around 2 hours) on an academic topic of their choice and this must be given by a professor, or another field expert with certification in the topic that was chosen for the session. The topics can be as different as the LGs want, to appeal to as many different people as possible.

 

During the session, the professor should approach the topic in a transversal and intensive

way in order to condense all the possible knowledge during this period, and if possible, some

practical exercises should be included, to help the participants assimilate the concepts.

 

How to apply?

Please fill the form and submit a document explaining the topic proposed for the session, the name of the professor who will deliver it, the possible dates for the event and the maximum number of participants (if you have a maximum limit).

Be X For X Days

Be X For X Days

Be X for X Days is a type of event that can be adapted to every IEM – related profession. Through company workshops, case studies and networking sessions, participants can get a glimpse of a professional’s life. In addition each event focuses on a specific profession with the assistance of companies and professionals that thrive in that sector.

What is a Be X for X Days event?

 

It is an event that gives participants the chance to experience the working life of an IEM-related profession. By close contact with companies, the aim is to show the role of different professionals and open new career paths for ESTIEMers and IEM students.

In order to differentiate itself from other events, the focus should be more on practical activities and gaining experience about the real deal (eg. networking sessions, company visits, case studies etc.) than focus on more theory-based ones.

What needs to be done by the Local Group?

 

Requirements for offline events:

  • Create the topic of the event
  • Food, Accomodation, Transportation for 4 to 6 days (plus 1 day for arrival and 1 day for departure)
  • Look for Partner Companies
  • Arrange the event activities (company visits, workshops, etc)
  • Leisure activities

Requirements for online events:

  • Create the topic of the event
  • Organise the event from 2 to 3 days (for instance a weekend)
  • Find professionals in the field (eg. Alumnis)
  • Look for Partner Companies
  • Arrange the event activities (workshops, networking sessions, night activities, etc.)
  • Platform to be used (eg. Zoom, Microsoft Teams, etc.)

 

How can your Local Group apply?

 

Your application should contain

  • Your LG’s motivation to organise the event
  • Topic of the Event
  • A draft Budget and a draft Agenda
  • Explanation on possible organizational aspects (transportation, accommodation, etc. platform to be used, etc)
  • Range of dates to have the event
  • Possibilities of your LG to find Companies (either current partners or potential new ones)

When should you send your application?

 

You should submit your application at least 3 months before the time you’re thinking of having an offline event and at least 1 month before having an online event.

Businessbooster

Businessbooster is a flexible ESTIEM Project that promotes and stimulates entrepreneurship among students. Different training, educational and networking events/competitions can be organized, such as reunions with Alumni, participation in entrepreneurship conferences and seminars about the fundamental basics of a successful entrepreneur (or any other topic that your Local Group would consider relevant to approach). The main goal is to help young ESTIEM entrepreneurs to start-up better, faster and with more confidence.

  • Information about the accommodation, city, and university (if physical),
  • Information about the flights (if physical),
  • Details on how the safety of the participants will be ensured due to pandemic (if physical).

StartUp Lab is…

…focusing on strengthening the entrepreneurship skills of the participants through real action. During the event, members are divided into different teams and work together on their own start-up projects. Through a series of lectures, training, and workshops, they will gain insight into everything that they need to know to make it happen and, in the end, the business plan that will be developed will be presented to real investors.

Local Groups should…

  1. Create an event agenda in cooperation with the central team,
  2. Contact professors for lectures and trainers or companies for workshops,
  3. Organize working rooms for up to 5 teams with sufficient equipment,
  4. Plan evening activities,
  5. Provide a room for the final presentations with the option of streaming the presentations,
  6. Organize a jury out of (at least) experts (like VCs, investors, successful entrepreneurs etc.),
  7. Organize accommodation, food, and transportation for 15 participants (if physical),
  8. Provide gifts for lecturers (if physical)
  9. Ensure that all health measures are taken due to the pandemic (if physical).

 

LG applications must contain…

  • LG motivation letter,
  • A draft Agenda of the event,
  • A draft Budget (If participation fee is applied),
  • Experience in organizing events / ESTIEM events,

Additional Notes

If you decide to apply for a physical event, you will need to take into consideration that they can only take place if the safety of the participants is ensured and that guidelines by EU and your country is strictly followed. So, make sure you provide us with the relevant information.

If you decide to apply for an online event, it should not take more than a few days, as it will possibly become repetitive and / or exhausting for the participants. So, keep that in mind when you are drafting the agenda for the event you want to organize.

TIMES

TIMES is a European business case tournament in corporate strategy and engineering, which has been organised successfully since 1994. TIMES is the flagship project of ESTIEM, the European Students of Industrial Engineering and Management. Once a year the tournament attracts around 300 students being challenged in their management and engineering skills and competing for the title of “IEM Student of the Year”.

Activity Week

Activity Weeks are ESTIEM events with a special topic chosen by the organizing Local Group. Activity Weeks offer unique experiences for ESTIEMers to develop their intercultural networking and spread open-minded ESTIEM and local cultural spirit.

The event can be built around a theme like festivals, food, culture, history, art, nature and sport activities. It is your time to get creative! Activities can include parties, company visits, trainings, or what about sailing, hiking, camping and why not even food tasting!

  • Introduction to ESTIEM and Introduction to your country, culture and language
  • Reflection/Feedback session for the event

During the process of organising, you will have the full support of the Activity Week leader and Vice President of Activities.

Europe3D

Europe3D gathers students from all around the world with different backgrounds to overview a country within 3 distinct dimensions –Politics, Economy and Culture– while spreading open minded ESTIEM spirit and raising Intercultural Awareness. Europe3D events aim to give its participants a better understanding of our cultural differences by experiencing together in a friendly atmosphere – while learning 3 dimensions of the hosting country by lectures, trainings, debates, workshops, cultural activities, and more.

Europe3D events gathers students from all around the world in a 6-7 days seminar series where the participants get to learn and experience the host country within 3 distinct dimensions - Politics, Economy and Culture- while spreading open minded ESTIEM spirit and raising Intercultural Awareness. Europe3D events aim to let the participants have a unique experience within a multicultural environment by accepting not only ESTIEM members but also accepting external students with different backgrounds, in any study fields.

What do you need to organize?

  • Food, Transportation, and Accommodation for all participants during the event. Participants can be hosted, stayed in a hotel/hostel, or both.
  • Lectures during the day on politics and economy (about 2 lectures for each dimension, could be given by professors or students).
  • Politics and economy related activities (interactive sessions like debates, discussions, roundtables, games, etc.)
  • Institutional visits (government, parliament, economic chambers, company visits/workshops, business seminars, etc. anything involving politics and/or economics).
  • Cultural visits (city tour, museums, theaters, landmarks, historical places, etc.)
  • Cultural activities (dance lessons, cooking classes, language courses, city games, etc.)
  • Classroom for the lectures, working materials for the Intercultural Awareness Training (ICAT).
  • Positive attitude, lots of Panda and ESTIEM Spirit!!!

 

During the organization process you will have the full support of the Europe3D Leader and the Europe3D Team. And we have a strong Organizers’ Toolkit which will help you a lot with covering the dimensions.

 

Additional Required Documents:

  • Motivation and a short information of the Local Group, former experience about organizing Europe3D/Cultural events if there is any.
  • Information about the event (how you want to present the 3 dimensions and how you expect the event look like).

  • Politics and economy sessions/presentations (could be delivered by students or professors).

  • Cultural presentation and activities, cultural city tour(if its applicable).
  • International night and evening activities.
  • Positive attitude, lots of Panda and ESTIEM Spirit!!!

During the organization process you will have the full support of the Europe3D Leader and the Europe3D Team. And we have a strong Organizers’ Toolkit which will help you a lot with covering the dimensions.

Language Programme

Language Programme, with its online and offline offerings, aims to contribute to the language learning skills of ESTIEMers; it implements language-based activities to other events and creates a language lead culturally diverse environment.

  • Classroom for the lectures, working materials for the Intercultural Awareness Training (ICAT)
  • Institutional visits (government, parliament, economic chambers, etc., anything involving politics and/or economics)
  • Cultural visits (city tour, museums, theaters, landmarks, etc.)
  • Positive attitude, lots of pandas and ESTIEM spirit!

During the process of organizing you will have the full support of Europe3D Leader and Europe3D Team.

What is LG Exchange?

 

LG Exchange is an ESTIEM service that occurs by visits of LGs to other LGs with a following return visit which facilitates them to share their cultures, knowledge, experiences and strengths between each other while having fun in a sincere environment.

What do you need to organize?

  • Food, transportation, and accommodation for all participants during the event. Participants can be either hosted or put in a hostel, or both.
  • Get2Know games in the first day of the event.
  • Cultural visits (city tour, museums, theaters, landmarks, etc).
  • Lectures about culture and language in one day of the event.
  • If needed (in the case of most of the participants are newbie) ESTIEM Talks session
  • International night and gala dinner

During the process of organizing, you will have the full support of LG Exchange Leader and LG Exchange Team.

While working on soft and business skills learning by doing principle, participants are able to enjoy the experience-sharing, fun, and team spirit.Enabling contact with professional trainers, trainers from other NGOs and experienced alumni, and thus providing greater insight into each participant’s career, BrainTrainer prepares IEM students for their professional lives, it focuses on their self-development.

What do you need to organise a BrainTrainer?

-Innovate event concepts about soft skills (feel free to check old event concepts)

-Free time and evening activities

For only physical event;

-Food, transportation and accommodation (preferably in hostel) for all participants for 7 days (5 event days, 1 arrival day and 1 departure day)

-Working materials (eg. flip charts, pens, transparencies, projector)

-A leisure day in the middle of the week (city tours, activities etc.)

-Covering the Trainers needs & costs (if they require a payment)

During the process of organizing, you will have the full support of the BrainTrainer team. For more information you can check BrainTrainer BPD.

How to apply for a BrainTrainer Event?

To apply for the BrainTrainer event, please fill the G-Form with an additional document till 30th of June. To apply for the event in July please apply till 31st of May. To create an additional document, please check the Event Application Form (for physical one). If you are applying for an online event please check the Online Event Application Form.

Summer Academy

How to apply for a BrainTrainer event?

Send a mail to leader.braintrainer@estiem.org and make sure vp-activities@estiem.org is attached to the CC till 29.11.2020. Then the BrainTrainer team sends you an application form -which is about concept, accommodation, budget, activities, and agenda of the event- and Best Practice Document about the organizing BrainTrainer event after receiving the mail from you.

After reviewing your application form, a chat will be scheduled to talk. 

Also if you want to organize a BrainTrainer event but you are not sure how to choose focus skills and concepts of the event, we can help you with that (be sure to mention in the email if you need help with that).

Central ESTIEM

Short Online Activity

Short Online Activities can be organised from now on. As explained below, a service, a committee or a LG will have the opportunity to apply for them in the following areas: Academic, Career, Intercultural, Personal and others. Please follow the process as described below! And if COVID-19 allows the organization of physical events again, this type of activity will need to be reevaluated.

How to apply?

Criterias for online sessions/activities on the portal:

  • Open for every ESTIEMers
  • Duration of at least 2 hours
  • Connected to a Service, a Committee or a Local Group
  • Have a specific topic/content which is related to the offers of ESTIEM 

→ Not only drinking evenings for example

→ More concrete Guidelines for the Intercultural content: 

  • Every Session needs to have a certain topic where the consumption of alcohol is not the main value given there. Moreover, sessions focusing only on drinking alcohol are out of the evaluation process. There needs to be a high focus on exchanging and discussing cross cultural topics or a deep dive into the respective content on a cultural level.

You can apply for a short online activity in one of these areas: 

  1. Academic content
  2. Career content
  3. Intercultural content
  4. Personal content
  5. Other content

In order to get your online activity on the portal, it needs to fulfill the requirements stated above.

What does "Your (online) event idea mean"?

Quite simple:

If your LG and you have an idea for an (online) event, that is so far not covered by the departments/services that we have in ESTIEM, you can apply with this event as a new idea! 

What will you need to brainstorm about?

  • Name of the event
  • Theme of the event
  • Goal of the event
  • Duration of the event
  • What makes it new regarding the events we already have

That's the first step to make your new event idea happen. Please send this then to vp-activities@estiem.org.
