Application Process

There are different types of leadership positions in ESTIEM. During the months of June and July, ESTIEMers can apply to positions that are appointed by the Board, such as Committee Leader, Task Group Leader, Regional Coordinator and Department Coordinator. In order to apply for any of these positions, there will be two application rounds.

First Round: The application deadline is the 24th of June. To apply to any position, send a document before the 24th of June with your written motivation and past experiences. In addition to this, submit a Mandate Plan Overview with your goals for the year. This is only a reflection on what you want to achieve. Based on your reflections made in the Mandate Overview Plan, you will set the goals of your mandate together with your Board Responsible after your handover.

The 34th board recommends you to take a look at the Long Term Objectives (LTOs) of the 21-24 Strategy that are connected to the entity you are applying for and think if and how you want to implement them in your mandate and add them to your Mandate Plan Overview with a short reflection on how you will work on the LTO.

If there is a LTO you think is applicable to the area of the entity you are applying for, feel free to include it in the Mandate Plan Overview. Likewise, if you disagree on a suggested LTO, do not add it to your Mandate Plan Overview. We only added the entities that we are open calling in this spreadsheet.

Second Round: In order to create more awareness of the vacant positions within the network, there will be two rounds of applications. This means that the second round will consist of all the positions that haven’t had a leader appointed yet. This way, declined applicants and other interested people still have the time to apply for the vacant position(s).

Keep in mind that, regardless of the round in which you were appointed, the mandates for the aforementioned positions will start on August 1st, 2023, and conclude on August 1st, 2024.

Committee Leader

As a Committee Leader, you are responsible for leading a committee within ESTIEM. Committees in ESTIEM are there to support the Board with their tasks to support the workload of a Board Member. You are expected to:

  • Fulfill the mission of the Committee
  • Develop the Committee and keep the Committee sustainable
  • Coordinate and monitor the Committee
  • Work together with an international team

This function gives a great opportunity for ESTIEMers to be involved in the management of the organisation and gain valuable leadership experience. 

“Increase awareness and recognition of ESTIEM towards IEM Europe and bring value to the network, by representing ESTIEM in external contexts, facilitating existing collaborations and establishing new collaborations with other organisations.”

As the Ambassador, you will have the opportunity to attend events different from ESTIEM events, be in close contact with the Board and a lot of ESTIEM entities and expand your network of contacts while developing your presentation skills and communication skills.

Main Responsibilities

  • Ensure the representation of ESTIEM at relevant external events and that the learnings take from ESTIEM from that event are shared with the network
  • Invite externals to ESTIEM events, in collaboration with the leaders and Local Group responsible for the respective event
  • Promoting external opportunities among ESTIEMers
  • Facilitate knowledge sharing with other NGOs
  • Getting new partner NGOs for ESTIEM, according to its needs
  • Ensure the proper visibility of our partner NGOs within our network

As the leader of the Analysis Committee you will responsible for making use of ESTIEM’s data. You will coordinate the development of Dashboards and work together with the board or other entities to enable them to make use of our data. During your leadership journey you will not only learn a lot about working with data but also gain profound knowledge on Tableau, one of the leading BI-Tools in the world.

Main Responsibilities

  • Working on current databases and visualizing them on Tableau
  • Supporting relevant decisions based on data visualization (dashboards on tableau)
  • Offering support for ESTIEMers who are willing to learn analysis tools and to work with data.

“The Corporate Relations Committee is responsible for creating and developing academic and corporate partnerships that will contribute with value and support to the network.”

As the Corporate Relations Committee Leader, you will be involved with the institutional and corporate partners of ESTIEM. You will have a chance to gain experience in creating and maintaining sustainable partnerships.

Main Responsibilities

  • Acquiring new partners (institutional or companies) through promotion of ESTIEM’s offers
    • Monetary (to financially support ESTIEM)
    • Value proposition (company workshops/trainings that add value to development of ESTIEMers, collaboration with ESTIEM’s Services and events)
  • Keep good relations with the current partners (Customer Relationship Management)
  • Organization of ESTIEM Hunt

“Event Quality Task Group aims working towards having a standardized Events’ quality improvement system, and consistent quality in ESTIEM events.”

As the EQ Leader you will be working on different aspects of event quality, analyzing and developing the quality in ESTIEM events, and coordinating the Event Quality team.

Main Responsibility Areas

  • Provide support in Event Organization towards various stakeholders 
  • Work closely with, VP of Activities, Service Leaders and Local Groups in developing the Event Quality

“Support the Board in the application of a Grants opportunity for ESTIEM.”

As Grants Committee Leader you will work on the obtention of European grants in order to financially support ESTIEM. Next to that, most European Grants give an overview of how ESTIEM is doing as an European Youth Network. Thus, you will be responsible of providing ESTIEM with this valuable insights.

Main Responsibilities

  • Research Grant possibilities (event-based or structural)
  • Make sure that ESTIEM submits the deliverables according to the grant application
  • Apply for relevant European Grant(s)
  • Evaluate the results and how ESTIEM is aligned with European Youth Goals

“Support all central ESTIEM entities in recruiting, onboarding, managing and developing their team members by facilitating recruitment processes, assessing stability and providing opportunities for development.”

As the name suggests, the Human Resources Committee is involved with all the people working in Central ESTIEM. This position will provide you the rewarding opportunity to not just improve the organization as a whole but also the individual members in Central ESTIEM you work alongside. 

Main Responsibilities

  • The Recruitment Processes of Central ESTIEM (GetActive! Page, GetActive! Chats, etcetera)
  • Onboarding (Making the newly recruited people familiar with ESTIEM’s working culture)
  • Development of entity members (e.g. through ordering trainings)
  • Understanding the motivation of Central team members (Team Members Assessment)
  • ESTIEM360 (the event that allows people to experience ESTIEM in +- one week by providing a full overview of the network)
  • Training Next Leaders (the event designed for helping the future leaders of ESTIEM)

“Curate the knowledge and ensure its usage by facilitating knowledge sharing in ESTIEM.”

As Leader of the Knowledge Management Committee you will be responsible for sharing the knowledge that is available in the network. It is important that all relevant information is documented in the right place.

  • The knowledge management structure in ESTIEM
  • Organizing information and knowledge by storing it and managing its visibility
  • Providing incentives for knowledge sharing and promoting a sharing culture in ESTIEM
  • Administration of tools (Elium, Wordrpess, Shared Drives)

“Members Committee aims to assure every association is following ESTIEM’s Membership Regulations by monitoring and supporting Guests and Observers on their way to Membership and controlling the activeness of our Members while analysing new growth opportunities.”

As the Leader of the Members Committee, you have the opportunity to bring ESTIEM into new countries and new students lives, lead a team of passionate people, try out new things, generate ideas and influence the future of the Local Groups. You will work with the Regional Coordinators and Local Group Support System Task Group, under the supervision of the Board Responsible, to together create a holistic approach to the support of members of ESTIEM.

Main Responsibilities

  • Monitoring Local Group Requirements
  • Coordination of all the positions within the committee
  • Application deadlines: Assuring Membership Regulations are followed and sending open calls within time before every Council Meeting
  • Close monitorization of Guest and Observer Local Groups’ activity and providing constant support
  • Analyzing new growth opportunities by looking for potential new associations to join ESTIEM and managing incoming requests from interested stakeholders
  • Organising projects in the area of Local Group Support such as  LR Onboarding, LR Forum, Firepit Sessions and the LG Innovation Project. 
  • Work closely with the Regional Coordinators and the Local Group Support System Task Group, under the supervision of the Board Responsible to together create a holistic approach to the support of members of ESTIEM
  • Being involved in the Local Group Support Strategy

Provide insights on IEM through conduction of research projects and management of partnerships, in order to connect and inform the stakeholders in IEM Europe.”

As the PDC Leader, you will have the opportunity to have an impact in IEM Education, interact with various IEM Europe stakeholders and learn about how the research world works.

Main Responsibilities

  • Coordination of the core team, which will be responsible for conducting various and diverse projects, aligned with their interests, to contribute to the understanding and development of IEM in Europe. Some examples of these projects can be: running educational campaigns, supporting international research, conducting surveys on IEM and organising Zooming In.
  • Coordination of the Event Based Partnership Team, which will be responsible for all the tasks related with the organisation and promotion of these events.
  • The creation and coordination of research groups. The research groups will consist of a group of IEM Students recruited for a specific research project aligned with the committee’s mission. This project can be developed only inside ESTIEM, or in collaboration with Academic Partners.

“The Public Relations Committee aims to maintain the ESTIEM brand by creating and publicizing the necessary brand materials for this purpose and to support entities and local groups in order to increase the recognition of ESTIEM to its stakeholders.”

As Public Relations Committee Leader you will work on the betterment of the Brand and image of ESTIEM; and work closely with the Vice President of Public Relations while having the chance to develop your own leadership and PR related skills.

  • Improving the working processes of the committee

  • Working on the PR strategy
  • Managing ESTIEM’s social media channels
  • Collaborating with other entities inside the organization

As SERC Leader you will work on increasing awareness about Social and Environmental Responsibility and have an impact to the outside world.

As the TC Leader, you will have a chance to work with dedicated trainers and takes care of the operational tasks to sustain and develop the community.

  • Supporting the future development of current trainers and organizing Training New Trainers
  • Developing internal and external training opportunities
  • Working to increase the quality of training sessions
  • Increasing the awareness about training culture in the Local Groups and encouraging trainers to deliver on a local level

Department Coordinator

The Department Coordinator has been brought into life to facilitate the work in the Department. The Department Coordinator makes sure that the current Services can work as smoothly as possible. Next to that, the Department Coordinator stimulates innovation in the Department by introducing new value-adding initiatives in line with its Mission.

Main Responsibilities

  • Removing all obstacles for the members of the Department
  • Nurture new initiatives
  • Support the Leaders and team members of the current Services

Being a Department Coordinator gives a great opportunity for ESTIEMers to grow further and gain managerial experience with a more strategic perspective.

Mission: Provide non-formal complimentary IEM content based on students’ needs and current developments in IEM, through advanced courses delivered by professionals, and support the research & development in the IEM field by actively taking part in discussions and activities.

Services inside the Department: Vision, Lean Six Sigma and Academic Days. Besides these services, the Data Science Course Task Group and Circular Economy Course Task Group are also included in the Academic Development Department.

Regional Coordinator

To be the connector between Central ESTIEM and Local Groups. To be the facilitator of collaboration, innovation and development of Local Groups in the region”

Regional Coordinators are responsible for the communication between the Board of ESTIEM and Local Groups. Regional Coordinators support Local Groups by making sure they receive all official information and understand it, support Local Groups in fulfilling the membership requirements and other responsibilities related to being a member of ESTIEM as well as support Local Groups in their development. The Regional Coordinator is required to be aware of the status and activities of LGs of their region. This means that the Regional Coordinator monitors the situation, activities and other important information about the Local Groups and reports to the board. The Regional Coordinator is a contact person in the region and RC is taking part in the communication related to regional activities therefore must be highly communicative and responsive.


Main Responsibilities as Regional Coordinator

  • To make sure that the communication of the Board of ESTIEM runs smoothly and is understood by the Local Groups
  • To monitor the Local Groups qualitatively, by having individual approaches such as calls and reporting to the board
  • Offering the Local Groups tailored support in their development, by connecting them to other entities or other Local Groups
  • To facilitate the collaboration and innovation of the Local Groups inside the region, through organising monthly regional calls, through organising regional events (Motivational Weekends, Board Training Events) and at least one strategic regional event (Regional Coordination Meeting)
  • To be highly responsive to questions of Local Groups
  • Work closely with the Members Committee and the Local Group Support System Task Group, under the supervision of the Board Responsible to together create a holistic approach to the support of members of ESTIEM
  • Being involved in the Local Group Support Strategy

Being a Regional Coordinator means being the direct extension of ESTIEM towards Local Groups. You take care of Local Groups and Local Responsibilities and make sure they grow and develop. It is the opportunity for great growth as leader.

Task Group Leader

Task groups support the board but are limited in time, since they have a concrete project or objective at hand. Basically a Task Group is focused on a specific task and it will be dissolved after finishing that task

Being a Task Group Leader is a great opportunity to contribute to the development of entities in ESTIEM and to further develop your organisational and leadership skills. 

The aim of the IEM conference is to connect IEM students with IEM stakeholders, while contributing to the development of IEM Europe

IEM Conference in the past has always been organised by the respective Local Group. This year we would like to give the LG sufficient support through a central entity, the IEM Conference Task Group. We are seeking a leader with a central team to develop the concept, content, and agenda for the IEM Conference in collaboration with the Local Group Targu Mures, scheduled for September 2024 in Targu Mures. 

Responsibilities:

  • Develop a comprehensive concept for the IEM Conference, that connects all stakeholders of IEM
  • Identify a relevant topic to be covered during the conference, ensuring the common  interests of professors, companies, and students within the IEM field.
  • Design an agenda including keynote speeches, panel discussions, workshops, and interactive sessions, fostering knowledge exchange and collaboration.
  • Ensure sufficient promotion of the conference through various channels to maximise participation and awareness.
  • Identify potential speakers and explore collaboration opportunities with possible stakeholders who can contribute valuable insights to the IEM conference.

“This initiative aims to equip students with highly relevant soft and hard skills in data-related fields. We fight the digital skill gap to shape students into data competent professionals that facilitate the decisions of the future.”

As the leader of this task group, you will be the coordinator of the development of the course “Visual Storytelling with Data”. A course with focus on data visualization and storytelling with Tableau. The development of the course is in its final stage already. By continuing to work with the instructor of the course, ESTIEM Alumnus Bart Jutte, you will be responsible for coordinating the completion of the production of the course to develop a ready-to-launch product. On this journey you will not only make valuable connection, but also get the opportunity to dive deep into the data field yourself.

“Create a support system for Local Groups’ development, with a customised, project-based approach, focusing on Local Groups willing to be supported.”

As the LGSS TG Leader, you will develop ESTIEMs tools to support Local Groups that struggle. You will work closely with other entities working with development of Local Groups, such as Regional Coordinators and Members Committee. The beginning of the mandate the position will operate as a task group, finalising the creation of the Local Group Support System. When the revision is completed, (expected after a couple months into the mandate) the task group will switch its focus and work as a committee and the appointed Task Group leader is expected to continue as the leader of the new committee.

Main Responsibilities as Local Group Support System Leader (as Task Group)

  • To revise the purpose of the local group support system based on the work done in the previous years 
  • To decide on the methodology and tools of how the Local Group Support System will support Local Groups
  • To come up with a catchy new name for the new entity
  • Oversee the transition into the Local Group Support Committee
  • Document the process of creating the Local Group Support Committee

Main Responsibilities as Local Group Support System Leader (as Committee)

  • To implement the tools for local group support throughout the network 
  • To educate the network about the tools for local group support
  • To create and maintain a sustainable team for continuous work and improvement around the Local Group support
  • Work closely with the Regional Coordinators and Members Committee, under the supervision of the Board Responsible to together create a holistic approach to the support of members of ESTIEM
  • To continuously develop and seek innovation in the Local Group support of ESTIEM
  • Being involved in the Local Group Support Strategy

The aim of this Task Group is to implement a brand new offering in ESTIEM: a certified offline course, from students to students on circular economy, the Circular Economy Course. 

We are seeking a leader to shape a sustainable and impactful concept for a Circular Economy Course. By taking this course, participants would gain a comprehensive understanding of the key concepts regarding circular economy, and relevant knowledge on Circular Economy for Industrial Engineering and Management professionals, such as how circular economy principles can be applied in the industrial context.

Responsibilities:

  • Design a comprehensive and sustainable concept for the Circular Economy Course, ensuring it covers key principles, strategies, and practical applications.
  • Identify potential collaboration partners who can contribute expertise and resources to enhance the course’s effectiveness.
  • Work towards establishing the course as a sustainable and valuable service within ESTIEM. 
  • Setting up a training process for students who want to become instructors of the course.
  • Coordinate the organisation of the first offline course.

Task Group Leader

ESTIEM Hunt appeared because of the need to keep on pursuing the Vision of the network and filling the gap between students and companies. It was organized to establish a direct connection between ESTIEMers and companies in order to increase the interaction for job opportunities. Also, it had the final purposes of increasing the knowledge about international recruitment and providing an opportunity for networking between students.

Disclaimer: Currently under revision!

The Local Group Support System Task Group (LGSS TG) was started in 2018 with the aim of creating a “support system for Local Groups’ development, with a customized, project-based approach, focusing on Local Groups willing to be rescued”. As this system is already created and implemented, it is now needed to evaluate the success of the system so far and understand how and if this system should continue. Therefore, the LGSS TG is currently under revision. If you have any ideas on how to improve the LGSS, or if you would like to share your vision for this entity with the Board, don’t hesitate to approach a member of the 33rd Board individually or write an email to board33@estiem.org.

Detailed Application Procedure

  • 1. First Application Round (16/06-24/06)

    During this round, ESTIEMers can apply to a leadership position by sending a motivational letter and a mandate plan overview to the board via email (sent to board@estiem.org and add board34@estiem.org in cc)

  • 2. Announcement of the First Round (01/07)

    After receiving all the applications, the Board will evaluate them. In case the Board will like to get to know a certain applicant better or clarify some of the points mentioned in the application, a short online chat can be scheduled. The final results will be communicated (only) to the applicants via email.

  • 3. Second Application Round (03/07-10/07)

    In case some of the positions open called are not filled, those positions will be announced and ESTIEMers can apply for them. The procedure is the same as in the first round.

  • 4. Announcement of the Second Round (15/07)

    After receiving all the applications, the Board will evaluate them. In case the Board will like to get to know a certain applicant better or clarify some of the points mentioned in the application, a short online chat can be scheduled. The final results will be communicated (only) to the applicants via email.

  • 5. Handover

    From the moment that a leader is appointed by the board, the handover process can be scheduled with the predecessors, where the new leader will have the opportunity to learn more about his/her specific position.

  • 6. Onboarding (TBD with the new leaders)

    The onboarding is an online event where you will learn all there is to know about what it means to be a leader in ESTIEM, the expectations, and the resources you will have access to, all while getting to bond with the leadership generation that you will spend the next year working with.
