About Council Meetings

The Council Meeting is the statutory meeting of ESTIEM and takes place twice a year. It is composed of two parts: The General Assembly, where everyone is updated on what is going on in ESTIEM and decisions are made through voting, The Working Groups, Training Sessions and Company Workshops, where smaller groups either work to develop ESTIEM, or improve their soft skills. It is the place where we gather to invest time in our organisation, to meet new and old friends and where we celebrate the ESTIEM Spirit.

What is a Council Meeting?

A Council Meeting will bring together 250 ESTIEMers from all corners of our network. During the Council Meeting, you will have the chance to develop yourself in training sessions, develop your Local Group in working groups and roundtables, and attend the General Assembly, the statutory meeting of ESTIEM. By attending the General Assembly, you have the opportunity to shape the future of ESTIEM by voting on applicants for positions in central ESTIEM and on projects and changes. You will also get informed about the latest developments in ESTIEMs Departments, Services, Projects, and Committees, as well as updates on the work of the Board. Additionally, this is the biggest opportunity to expand your network of IEM students in Europe!

How many participants will each Local Group be represented by?

Every Local Group can be represented by up to two delegates. The delegates are the official representatives of Local Groups. The period to register delegates is from the 15th of August until the 31st of August 2024. Later applications will not be taken into account.

In addition to delegates, spots are reserved for various Council Meeting positions. You can check them out on the website or if you check emails sent to the network regarding open positions.

What does the Participation Fee cover?

The Participation Fee for LXIX Council Meeting Seville is 125 euros, it covers food, accommodation, transportation during the event, and activities included in the agenda.

Which open positions in the Council Meeting can I apply for?

For the open call for extra places, an email will be sent to the actives email list. You can join the actives email list by clicking here!

The positions will include, but are not limited to Chairperson, Secretary, Voting Committee, Photographer, Videographer, Content Creator, Livestream Responsible, Working Group Leader, Training Session Leader, Working Groups and Training Sessions Coordinator, Safety Contact Person and Extra Place.

Can I apply for a position or project if I am not attending the Council Meeting?

Yes, you can apply by sending us video recording of your presentation! For more information, send an email to board@estiem.org.

Dear ESTIEMer,
 
The Board of ESTIEM and Local Group Seville are honoured to invite your Local Group to join the 69th Council Meeting of ESTIEM in Seville, Spain from 4th of November to 10th of November 2024.
 
Council Meeting is a statutory event of ESTIEM that gathers around 250 students from all parts of our network. This event includes several General Assemblies that allow Local Groups and active individuals to express their thoughts, concerns, and provide input on the network and ongoing work. The Council Meeting is a unique event that provides an opportunity to contribute to the network’s future, stay informed on the latest updates and experience the ESTIEM spirit to its fullest potential!
 
Please find attached the official invitation letter to the LXIX ESTIEM Council Meeting. Each Local Group is invited to send two delegates to the Council Meeting. Therefore, ensure that you send the best possible representatives to be the face and voice of your Local Group. Registration period for delegates is from the 15th of August to the 31st of August.

If you are not a delegate of your Local Group, you can still join the General Assemblies as a reserved extra place, providing you motivate your attendance and guarantee that you will bring value to the General Assembly. Information about the open positions at the upcoming Council Meeting will be sent later this month.
 
The cancellation deadline for all participants is 30th of September. If a participant cancels later than the mentioned date, they are required to pay the entire participation fee.

Dear Local Responsibles,

The official invitation for the LXIX Council Meeting Seville has been sent to the actives of our network. Now, it is time for your Local Groups to choose your delegates and register them on the portal.

Your Local Group may be represented by two people as delegates, and the period to register them on the portal starts tomorrow on the 15th of August and lasts until the  31st of August. Local Groups are obligated by Membership Regulations to send delegates to Council Meetings and the Local Responsibles are responsible for their registration on the portal. You can learn about the portal registration process in this document.

In case more members of your Local Groups are interested to participate in the Council Meeting, an additional email will follow and be sent shortly to active@estiem.org regarding the open positions selected by the 35th Board.

The Council Meeting is the statutory meeting of ESTIEM and it takes place twice a year and brings together around 250 Industrial Engineering and Management students from 26 European countries. Many important decisions will be made during this event. The delegates will represent your Local Groups, so please prepare your delegates properly for the Council Meeting and make them aware of the importance of their role while sharing the document How to be a Delegate. The Council Meeting is the place where we gather to invest time in our organisation, meet new and old friends and celebrate the ESTIEM Spirit.

Note: LR functionalities are only available when you log in via Single Sign On! This means that in order to add your delegates in the Council Meeting event on the portal, you need to be logged in with that. In this document  you can check out how to set up your SSO if you haven’t already.

The next Council Meeting is already approaching! The LXIX Council Meeting of ESTIEM will take place in Seville, Spain from the 4th until the 10th of November 2024.

The Council Meeting is the statutory meeting of ESTIEM. It takes place twice a year and it brings together around 250 Industrial Engineering and Management students from 26 European countries. It is composed of two parts, the General Assembly, where everyone is updated on what is going on in ESTIEM and decisions are made through voting, as well as the Working Groups, Training Sessions and Company Workshops, where smaller groups either work to develop ESTIEM, or improve their skills.

The open calls start now!

Open Positions

A Council Meeting is the place where we gather to invest time in our organisation, to meet new and old friends and celebrate the ESTIEM Spirit. By participating as a delegate, you may represent your Local Group in the Council Meeting and have a secure spot for the event. For more information, please contact your Local Responsible. Alternatively, you can also participate by applying to the following positions:

  • Chairperson (1 spot),
  • Secretary (3 spots),
  • Voting Committee (2 spots),
  • Working Groups and Training Sessions Coordinator (1 spot),
  • Trainer,
  • Working Group Leader,
  • Photographer,
  • Videographer,
  • Livestream Responsible,
  • Content Creator,
  • Safety Contact Person
  • Extra Place

You can find all the brief descriptions about each position in the attachment. Please send your application until the 31st of August 2024 at 23:59 CEST. To apply for any of the aforementioned positions, follow this link and select what you are applying for. 

Note that the application form also includes an option to apply for the extra place for those who wish to attend the Council Meeting without holding a specific position. Please keep in mind that due to limited availability, it is possible that you may not be selected for the role you are applying for. That is why you may indicate a second preference (including extra place) at the end of the form. Please note that there will not be any additional registration opportunities for extra places or other positions at a later time. 

Local Group Seville will soon provide more information regarding crashers, but as a reminder, crashers are not participants of the Council Meeting and are therefore responsible for their accomodation and food.

 

Safety Contact Person

Alongside your actual position or in general, you may also be a Safety Contact Person (SCP). The task of the Safety Contact Person is to make sure that everyone at the event feels safe. A Safety Contact Person works during the event as a contact point for people to reach out to if they do not feel safe and also supports participants in reporting of cases that break against the Code of Conduct of ESTIEM. The Safety Contact Person can also be asked to educate ESTIEMers during an event on how to behave properly. Most importantly, the Safety Contact Person is able to exhibit exemplary behavior during the entire event.

The Safety Contact Person works in shifts with the other Safety Contact Persons and works both during the day and during the night. Expect to be on duty 2-3 days/nights. The Safety Contact Person is not allowed to consume alcohol/substances when on duty.

Every Safety Contact Person has to undergo training provided by ESTIEM.

Additionally, there will be one Safety Contact Person that will be responsible for the communication and coordination of the SCPs. This person’s additional responsibility is to communicate in the common channels who the SCP of the day is and provide a FAQ for participants.
 

To recap, to officially participate in Council Meeting Seville as a delegate or one of the open positions, you’re expected to take the appropriate action by Saturday, 31st of August 2024 at 23:59 CEST.

  1. To become a delegate, contact your Local Responsible. Each LR will appoint up to two delegates from their Local Group.

  2. To apply for an open position you need to apply via the form in this email.

  3. Alongside either 1 or 2, you may also apply to become a Safety Contact Person in the same form.

Council Meeting Tools

ElectionBuddy

In Council Meetings, Local Groups cast votes upon important matters through their Delegates. For that process we use a digital voting sheet, ElectionBuddy, that gets send to each Delegate through email during the General Assembly.

Google Chat

Google Chat will function as the official communication platform of the event including chat rooms ("spaces") for casual discussions as well as the official announcements.
You can access the said platform on either mobile or on desktop. On mobile, you can use either Google’s Gmail app or alternatively Google Chat app. The two are practically identical. Only Gmail will also give access to Gmail alongside the chat functionalities. On PC you can similarly navigate to either mail.google.com or chat.google.com.
